Privacy notice of the University of Jyväskylä stakeholder cooperation, University Communications.

For what purposes will your personal data be used and what is the legal basis for its processing?

 The register includes contact information for alumni of the University of Jyväskylä, as well as data about stakeholders, corporate partners and friends of the University. The personal data register is based on consent from the data subjects (Article 6(1)(a) of the General Data Protection Regulation) to the use of their contact information for one or more of the following purposes: communication about the University’s activities, marketing of events, invitations to the University’s events, fundraising campaigns, public relations and other marketing carried out by the University. In addition, with explicit consent, a person’s data is used for Entrepreneur in Residence (EIR) cooperation. With regard to EIR cooperation, the person’s expertise and goals for the cooperation are entered into the register. 

The data subjects have consented to the processing of their personal data for one or more specific purposes. Data subjects can edit their data and choose communication content that interests them or remove themselves from the register at any time. 

 The University is committed to collecting and processing your personal data in a fair and transparent manner in accordance with the legislation concerning the processing of personal data. This privacy notice describes how the University manages your personal data in accordance with the data protection regulations.   

What personal data are we processing? 

 We only process personal data that the data subjects themselves provide to us. All graduates of the University of Jyväskylä are its alumni. Friends of the University of Jyväskylä include its partners, employees, trainees, postdoctoral researchers and exchange students, as well as people who have completed courses at the University.  Personal data is obtained from the data subjects themselves by means of online forms, with consent from the data subjects in conjunction with their registration. Their names, contact details, educational background information and current job information are collected in conjunction with their registration. 

Who has access to your personal data?

 The personal data of alumni is managed by the University Communications staff at University Services and the employees of the faculties. Other stakeholders’ personal data is managed by the Events Coordinator and the partnership team of University Services.

Data is not disclosed to third parties. 

Will your personal data be transferred to non-EU or non-EEA countries? How are the data transfers protected?

 Your personal data will not be transferred to non-EU or non-EEA countries.

 For how long will your personal data be processed? Will your personal data be archived?

 The data is stored indefinitely. If a data subject does not want their information to be stored, they can remove themselves from the register. Due to the nature of alumni activities, the alumni register is based on lifelong relationships. 

Withdrawal of consent

You have the right to withdraw your consent to the processing of your personal data at any time.

Other stakeholders

You can withdraw your consent, make an enquiry or change your contact information by contacting the events coordinator (Riikka Heiskanen, riikka.m.heiskanen@jyu.fi, tel. +358 40 805 4134).

Your withdrawal of consent will not affect any processing measures carried out before the withdrawal. 

What are your rights as a data subject?

As a data subject, you have the right to:

  • Access your personal data
  • Rectify inaccurate data (remember to keep your personal data up to date)
  • Erase your personal data (right to be forgotten) under certain circumstances
  • Restrict the processing of your personal data under certain circumstances
  • Have the unit responsible for the register communicate any rectification or erasure of personal data or restriction of processing to each recipient to whom the personal data has been disclosed
  • Object to the processing of your personal data under certain circumstances, such as direct marketing
  • Have your personal data transferred between systems under certain circumstances
  • Not to be subject to a decision that is based solely on automatic processing, such as profiling, and that produces legal effects concerning you or similarly affects you significantly.
  • Be notified of personal data breaches that are likely to result in a high risk.
  • File a complaint with the supervisory authorities.

As the data controller, the University takes appropriate technical and organisational measures to protect personal data from unauthorised or unlawful processing, and from damage and loss.
