Registering and examining postgraduate courses

Entering grades to the student register

A. Postgraduate-level courses and courses that are commensurate with the guidelines of the postgraduate teaching plan that are offered at the University of Jyväskylä and have been accepted as part of postgraduate studies:

  • completed in accordance with the course requirements
  • the grade is saved and sent to the student register using the code mentioned in the course announcement (person in charge: the course instructor)

B. Courses that are commensurate with the guidelines of the postgraduate teaching plan and have been accepted as part of postgraduate studies but are completed outside the University of Jyväskylä:

  • completed in accordance with the course requirements
  • certificate (copy) is brought to the Coordinator Heli Niskanen at the Faculty Office
  • Heli Niskanen (discussing with the Coordinator Salla Kujala, if needed) enters the grade to the student register
  • Heli Niskanen takes care of archiving the required documents


C. Other completed studies that are commensurate with the guidelines of the postgraduate teaching plan and have been accepted as part of postgraduate studies:

  • the doctoral student compiles a written account of the completed study attainment (the date and time; the tasks comprising the study attainment; an estimate of the time used to complete the study attainment; and other required information) and sends it with other relevant documents to the supervisor(-in-charge)
  • the supervisor(-in-charge) assesses whether the completed study attainment fits the student’s postgraduate study plan
  • if the completed study attainment can be accepted as part of postgraduate studies, the supervisor(-in-charge) sends to the Coordinator Heli Niskanen
    • an account of the study attainment and other relevant documents if such exist;
    • information stating clearly that the course can be accepted as part of postgraduate studies;
    • the day the grade is awarded (the date of the completion of the study attainment);
    • the amount of credits awarded;
    • the possible code(s) the study attainment could be registered on.
  • Coordinator Heli Niskanen verifies that the proposed study attainment is in accordance with the postgraduate teaching plan
    • if the study attainment is not in accordance with the postgraduate teaching plan or the proposal contains something that needs checking, Coordinator Heli Niskanen will contact the supervisor(-in-charge) and, if needed, the doctoral student
  • after the verification, Coordinator Heli Niskanen enters the grade to the student register and archives the required documents

Compiling the postgraduate studies, or, checking the overall situation regarding the studies included in a postgraduate degree

  • after each meeting of the faculty board of the Faculty of Humanities and Social Sciences the Coordinator Heli Niskanen will check the record for those doctoral students whose dissertation manuscript has been accepted for preliminary examination
  • Coordinator Heli Niskanen will check the studies of the students in question from the student registry
    • NB, if the doctoral student has completed a licentiate’s degree, no further postgraduate courses are needed
  • Coordinator Heli Niskanen will send a summary of the situation regarding postgraduate studies to both the doctoral student and his or her supervisor(-in-charge) and answers any possible questions
  • when the doctoral student applies for a degree, it is checked again that all studies required by the postgraduate teaching plan have been completed and entered to the register
