This privacy notice concerns the personal data of authors of publications published at the University of Jyväskylä. The personal data are collected from the persons themselves by an author description form or by email.

What should you know about the processing of your personal data?

Jyväskylä collects personal data about you to carry out its duties. You have rights to this data, such as the right to access the data and the right to be sure that it is stored securely and only for the necessary time. Above all, you have the right to know the following:

  • what information we collect about youand why,
  • for how long, and where we keep this informationand
  • to whom we share this information.

How to find the information you are looking for?

We have created this privacy notice to be as easy as possible to use and understand. That is why you will find the key points summarised under each section. Why we process your personal data? 

The purpose of processing these personal data is to make up an authority record to be saved to the Asteri database maintained by the National Library. The authority records link different name forms (for example, in different languages or spellings) and help distinguish between persons having the same name. Various systems using the authority records help people find the right person or author when they are entering or searching data, and the records also link right publications to right persons or authors. The content of the Asteri database are retrievable as open-access data from the Finto service. The data controller of the Asteri database is the National Library. What data we process and how long? 

The data are kept permanently in the Asteri database. The forms or emails sent by a person are kept for two years, and they are not used for any other purpose.

What rights you have and how to exercise them?

You have the following rights: 

  • Right to access your data.
  • Right to have any incorrect information corrected.
  • Right to have your data erased (right to be forgotten), in certain situations.
  • Right to restrict processing.
  • Right to have the responsible unit inform the party to which your data is disclosed of your data being corrected, erased, or the processing being restricted.
  • Right to object processing, e.g. direct marketing.
  • Right to be notified of any information security breaches resulting in a high risk.
  • Right to file a complaint with the supervisory authority.

You can exercise your rights by sending a request to the university's Registry Office. You can use the form on the Registry Office's website or send your request informally. Keep in mind that withdrawing your consent doesn’t change the processing that happened before the withdrawal.

Who can access your personal data?

The personal data are processed by those staff members of the Open Science Centre at the University of Jyväskylä whose job description includes tasks related to author descriptions.

To whom we transfer your data?

We don't transfer this personal data outside the EU/EEA area. The authority record is saved to the Asteri database of the National Library whose data transfer practices are described in the National Library’s privacy notice.

On what basis we process your personal data?
