Submitting your Master's Thesis for Evaluation in Vasara system

At the University of Jyväskylä, all faculties use an electronic evaluation process for Master's Thesis. This means that the entire process of submitting, evaluating, and archiving the thesis is carried out electronically through the Vasara system.

At the moment, it is not possible to submit double theses, i.e., theses conducted in two faculties, for examination in Vasara. In such cases, please contact the Degree Education Services at tutkintoasiat@jyu.fi.
 

Please consider the following before submitting your work and starting the submission in Vasara.

  • Make sure you are submitting the final version of your thesis. After submission, no further changes can be made to the work, and the submitted work must be assessed and archived.
  • Discuss with your supervisor and ensure that your work is ready for submission.
  • Ensure that your work undergoes the Turnitin check according to the instructions provided by your supervisor, before submitting your thesis in Vasara.
  • You must be registered for both the thesis and the maturity test implementation in Sisu.
  • Your work should be saved in a PDF/A format that is accessible. Please read the instructions for saving your thesis in PDF/A format.
  • If your thesis is done in collaboration, one of the authors submits the thesis and provides, upon submission, the username of the other author (username@jyu.fi or username@student.jyu.fi). Subsequently, the other author receives an email with a link through which they can approve the submission of the thesis.
  • If the thesis done as a pair work, the student returning the thesis to Vasara first selects the openness of the work and the associated licenses. The second student agrees to these while also approving the submission for evaluation. It is advisable for the authors to have a common discussion about this before submission. Read more: Thesis Publicity
  • If your thesis contains confidential background material, it must be removed from the submitted work before it is returned for evaluation.
  • The acceptance of the evaluation report and grade will take place in Vasara. You will receive a notification of the completion of the evaluation report in your email. If needed, update information in Account Self Service.
  • The evaluated thesis will be automatically sent to the JYX public publication archive.
  • The completion date of the thesis is the date when the evaluation decision is made.

Pre-evaluation and plagiarism check

The thesis templates can be found here. Prior to the final evaluation of the thesis, the thesis supervisor conducts the so-called pre-evaluation, during which it is still possible and usually also needful to edit the thesis. The pre-evaluation takes ca. one month. Before being submitted to final evaluation, the thesis must also undergo a plagiarism check (Turnitin). This is carried out in Moodle. The thesis supervisor will be able to give you further advice on the practicalities of the plagiarism check. Please submit the thesis to pre-evaluation to your thesis supervisor, not to the Vasara system.

Final evaluation

  • Deadline for submitting the thesis to final evaluation if you are planning to graduate in the autumn semester: 9 November
  • Deadline for submitting the thesis to final evaluation if you are planning to graduate in the spring semester: 9 May

You can submit the thesis to final evaluation also before the above-mentioned deadlines (i.e., if you are ready in September or October in the autumn, you do not have to wait until 9 November to submit the thesis). Please remember to agree with your thesis supervisor, in advance, on the schedule of submitting the thesis.

The thesis must be submitted to final evaluation to the Vasara system. Please follow the general Vasara instructions above. The thesis will be evaluated within one month. During summertime and turn of the year, the evaluation might take a little longer.

Maturity exam

International Master’s degree students in the Faculty do not have to take an actual exam, but the abstract that is, by default, included in the beginning of the Master’s thesis acts as the maturity exam, and no separate language evaluation is needed. Thus, when the grade for your Master’s thesis is registered in Sisu, you will also simultaneously receive the PASS mark for the maturity exam with the same date as the thesis.

Finnish students studying in the international Master's degree programmes EDUMA or DEICO (EDU) do not need to complete a separate abstract in Finnish. However, if you are a Finnish student and have NOT completed a maturity exam in your previous studies, you will have to take an actual exam from where the language (Finnish) is evaluated separately. In this case, please contact your thesis supervisor and Laura-Mari (see below) for further instructions.

Tarkastajien nimeäminen, tarkastus ja arvosana

Opiskelija toimittaa lopullisen tutkielman tarkastusta varten ohjaajalle. Samalla opiskelijan tulee varmistaa, että hänen yhteystietonsa ovat tiedekunnan käytössä. Dekaani nimeää tutkielmalle kaksi tarkastajaa, joista toinen voi olla ohjaaja. Liikuntatieteellisessä tiedekunnassa dekaani on delegoinut tarkastajien nimeämisen oppiaineiden vastuuhenkilölle.

Ennen lopullista arviointia tarkastajat voivat antaa kommentteja tai korjausehdotuksia, joiden perusteella opiskelija voi halutessaan vielä muokata työtään ennen lopullisen arvosanan antamista.

Tutkielma tarkistetaan aina vilpin ja plagioinnin varalta plagiaatintunnistusohjelmalla (Turnitin). Turnitin-tarkastus tehdään tehtäväpalautuksena ohjaajan kanssa sovittavalla tavalla (esim. Moodle-ympäristössä). Tarkemmat ohjeet tutkielman jättämisestä plagiaatintarkastukseen saa ohjaajalta. Ohjaaja antaa palautteen, jonka perusteella opiskelijalla on mahdollisuus tehdä korjauksia ja viimeistellä tutkielma.

Tutkielman tekijällä on myös oikeus keskeyttää tarkastus ennen tutkielman lopullista arvostelua eli dekaanin päätöstä (tutkintosääntö 45§). Kirjallinen ilmoitus keskeytyksestä tulee tehdä oppiaineen pääedustajalle. Opiskelija voi keskeyttää tutkielmansa arvioinnin vain kerran. Opiskelija voi jättää tutkielmansa uudelleen arvioitavaksi edellyttäen, että se on kirjoitettu ainakin osin uudelleen. Arvion asiasta antaa tutkielman ohjaaja. Mikäli tutkielmaa ei oteta arvioitavaksi, siitä annetaan muutoksenhakukelpoinen päätös.

Tarkastajat antavat lausuntonsa ja arvosanaehdotuksensa kuukauden kuluessa siitä, kun työ on jätetty lopullisessa muodossa tarkastettavaksi.

Kun tarkastajat ovat antaneet lausuntonsa, se toimitetaan allekirjoitettuna tiedekunnan koulutuspalveluiden lähipalveluihin (L-rakennus, Keskussairaalantie 4, huone L316), josta se lähetetään tiedoksi opiskelijalle sähköpostitse. Tämän jälkeen opiskelijan tulee ilmoittaa lausunnon hyväksymisestä sähköpostitse sekä toimittaa pro gradun lopullisen version sähköpostin liitteenä tiedekunnan opintopalveluihin: opintoasiat-sport@jyu.fi

Samalla opintosihteeri tiedottaa opiskelijalle tämän mahdollisuudesta antaa vastine tarkastajien lausunnosta (tutkintosääntö 45§) ennen tutkielman arvostelua ja kirjaamista opintorekisteriin. Vastine tulee antaa 14 vrk:n sisällä tarkastajien lausunnon saamisesta. Halutessaan antaa vastineen opiskelija toimittaa sen kirjallisena tiedekunnan opintopalveluihin. Hyväksymisprosessi etenee vasta sitten, kun määräaika on kulunut tai opiskelija on ilmoittanut, ettei hän anna vastinetta. Samalla kun opiskelija ilmoittaa, ettei anna vastinetta, hän osoittaa tallentaneensa tutkielman sähköisenä JYX-julkaisuarkistoon. Tarvittaessa voit hyödyntää suomalaista sanasto- ja ontologiapalvelua (Finto).

Tämän jälkeen tarkastajat esittävät tutkielman dekaanin hyväksyttäväksi. Esitystä varten opintosihteeri toimittaa lausunnon/lausunnot tulostettuna dekaanille, joka päättää gradun hyväksymisestä ja antaa sille arvosanan viikon sisällä. Tiedekunnan sisäisen työnjaon mukaan hyväksyjä voi olla myös varadekaani.

Tutkielma arvioidaan numeerisella 5-portaisella asteikolla (erinomainen (5), kiitettävä (4), hyvä (3), tyydyttävä (2), välttävä (1)). Tutkielman arviointi lasketaan mukaan syventävien opintojen kokonaisarvosanaan.

Mikäli opiskelija antaa vastineen tarkastajien lausunnosta, dekaani perehtyy asiaan (tarkastajien lausuntoihin, vastineeseen, maisterintutkielmaan) ja voi kuulla tarkastajia vastineessa esitetyistä asioista. Tarvittaessa dekaani voi määrätä työlle kolmannen tarkastajan. Tarkastajien (kahden alkuperäisen ja mahdollisen kolmannen tarkastajan) lausuntojen perusteella ja vastineen huomioon ottaen johtaja hyväksyy ja arvostelee tutkielman.

Tutkielma jätetään opintosihteeri Laura-Mari Manniselle sähköpostitse pdf-tiedostona, kun ohjaaja on hyväksynyt tutkielman tarkastettavaksi ja se on käynyt läpi Turnitin -tarkastuksen. Ohjeita työn Turnitin-tarkastukseen saat työsi ohjaajalta. Laitoksen varajohtaja määrää kaksi tarkastajaa, joista toinen on tavallisesti työn ohjaaja. Tarkastajien on annettava lausunto noin kuukauden kuluessa siitä, kun tutkielma on jätetty lopullisessa muodossa tarkastettavaksi. HUOM. kesäaikana ja vuoden vaihteessa tarkastusprosessi voi kestää kauemmin, joten varsinkin kesällä kannattaa varautua kuukautta pitempään tarkastusaikaan.

The originality of the thesis is checked using the Turnitin program in the Moodle workspace. It is recommended that you use the Checkpoint section in Moodle during the writing process to avoid any surprises with the final version. 

  1. Register for the courses KEMS9550 Master's Thesis and KEMS901 Maturity Exam for Master's degree in Sisu to access Moodle.
  2. When your Master's thesis is ready for review, first submit the final version of your thesis for an originality check in Moodle.
  3. Then follow the instructions above for submitting your thesis for assessment in the Vasara system.
  4. Follow your email during the process, as you will receive a notification of the grade by email and you will have 14 days to respond to the message.

Submitting master's thesis for assessment

Do Note! Department is switch to electronic evaluation system  for masters' thesis approximately in the beginning of November and giving up for this manual system (see below). This means that the entire process of submission, assessment, and archiving will be conducted electronically through the Vasara system. More info coming soon.

Note about maturity exam:

If your previous degree was done abroad you have to do a written maturity exam of your master's thesis. When this is the case, contact your supervisor. If your previous degree was done in Finland master's thesis's abstract will serve as an maturity exam.

Steps to take:

  • Finish your thesis under supervision of your professor.
  • Contact your supervisor and check your thesis with the plagiarism system Turnitin.
  • Submit your thesis (in one PDF file, only) to the education coordinator in charge of master’s theses (Jenna Reunanen, masterthesis-yfi@jyu.fi) When submitting through email, add the information of when was the Turnitin inspection done and by which teacher it was done to the email.
  • Wait for the statement and (NOTE!) reply as soon as possible before the assessment of the thesis.
  • Submit the approved thesis to the library's online archive, JYX.
  • Ask for the compilation of your advanced studies in SISU (and study modules if you have one).
  • Apply for a master's degree, if all other studies are completed (see guide in SISU).

Students should submit their master’s thesis for assessment in PDF format (as an e-mail attachment) to the email address mentioned above. The paper versions (prints) are not needed. NOTE! Every student must still submit her/his thesis to the library's archive after the thesis is graded by the head of the department. This has to be done before the degree can be applied for. 

Evaluation takes approximately one month

The education coordinator delivers the master’s thesis (in PDF format) to the examiners after the department's master’s thesis submitting days. The head of the master's degree programme in question will decide the examiners. The supervisor of the thesis will be one of the examiners. The other one is a staff member of the department.

Assessment and grading process of master’s thesis

Pre-examination

The student delivers the manuscript of his/her thesis to his/her main supervisor. The purpose of the pre-examination is to make sure that the thesis has proceeded to acceptable direction and that it can be submitted for final assessment as such or with minor improvements. At this stage no grades are suggested. At the stage of pre-examination the thesis is checked with plagiarism detection software Turnitin. The supervisor gives the feedback based on which the student can make improvements and revise the thesis.

Evaluation and grading of thesis

Student submits the final thesis for assessment to his/her supervisor. The thesis must include an abstract (see Abstract). The thesis is assessed by two reviewers, the supervisor and a second reviewer. The supervisor sends the thesis to the second reviewer.

The reviewers give their statement of evaluation and a proposal for the grade within a month and send it to the Vice Head of the Department as well as the student (via email). At the same time, the reviewers inform the student about the possibility to give a rejoinder of the reviewers’ statement before grading the thesis (Degree Regulations of the University of Jyväskylä, 36 §). The rejoinder must be given within 14 days of receiving the reviewers’ statement.

If the student wants to give the rejoinder, he/she submits it to the Vice Head of the Department in writing. The assessment process of the master’s thesis is not proceeded until the deadline for rejoinder has expired or the student has announced not to give a rejoinder. 

After the deadline for rejoinder has passed or after the student has announced not to give a rejoinder, the Vice Head of the Department decides about accepting the thesis and grading it within a week.

The grading scale of the master’s thesis is 0 - 5 (see the Thesis evaluation matrix). The extent of the thesis is 30 ECTS credits.

If the student submits a rejoinder of the reviewers’ statements, the Vice Head of the Department reads up on the reviewers’ statement, the rejoinder, Master’s thesis and can hear the reviewers regarding the matters brought up in the rejoinder. If needed, the Vice Head of the Department can appoint a third reviewer for the thesis. The Vice Head of the Department assesses and grades the thesis on the grounds of all the evaluation statements.

The author has the right to interrupt the thesis assessment process before the final grade is given (the Degree Regulations of the University of Jyväskylä, 36 §). The notification of interruption has to be made in writing to the Vice Head of the Department.

Appeal

If the student makes an appeal of the grading of the thesis (Degree Regulations of the University of Jyväskylä 49 §), it has to be made in writing within 14 days of the date on which the student first had access to the grading criteria and the assessment result. The appeal is dealt with the University Degree Committee. Informal signed appeal with contact information is submitted by paper to the Registry Office of University of Jyväskylä (Kirjaamo). For the processing of the appeal the University Degree Committee has to have an access to the thesis either in the Jyväskylä University Digital RepositoryJYX or as a file.

Registration of the thesis

After the thesis has been accepted and graded, it is registered into the Sisu system.

Abstract

The thesis must include an abstract in English and in Finnish (Finnish speaking students). In the abstract the author describes the goals of the thesis, research methods and research material, content and results. 

Publication of the thesis

At the University of Jyväskylä, the theses are published in the Jyväskylä University Digital RepositoryJYX. The student should save his/her master's thesis in JYX via the university library's website. According to the publishing principles of the University of Jyväskylä, theses are generally published completely open, so that both the scientific community and the general public can read them on the Internet for free and without barriers. If the author chooses to publish the thesis with restricted access, the information about the author and the work still remains public.

After the deadline for rejoinder has passed or after the student has announced not to give a rejoinder, the Vice Head of the Department decides about accepting the thesis and grading it within a week.

The grading scale of the master’s thesis is 0 - 5 (see the Thesis evaluation matrix). The extent of the thesis is 30 ECTS credits.

If the student submits a rejoinder of the reviewers’ statements, the Vice Head of the Department reads up on the reviewers’ statement, the rejoinder, Master’s thesis and can hear the reviewers regarding the matters brought up in the rejoinder. If needed, the Vice Head of the Department can appoint a third reviewer for the thesis. The Vice Head of the Department assesses and grades the thesis on the grounds of all the evaluation statements.

The author has the right to interrupt the thesis assessment process before the final grade is given (the Degree Regulations of the University of Jyväskylä, 36 §). The notification of interruption has to be made in writing to the Vice Head of the Department.

Appeal

If the student makes an appeal of the grading of the thesis (Degree Regulations of the University of Jyväskylä 49 §), it has to be made in writing within 14 days of the date on which the student first had access to the grading criteria and the assessment result. The appeal is dealt with the University Degree Committee. Informal signed appeal with contact information is submitted by paper to the Registry Office of University of Jyväskylä (Kirjaamo). For the processing of the appeal the University Degree Committee has to have an access to the thesis either in the Jyväskylä University Digital RepositoryJYX or as a file.

Registration of the thesis

After the thesis has been accepted and graded, it is registered into the Sisu system.

Abstract

The thesis must include an abstract in English and in Finnish (Finnish speaking students). In the abstract the author describes the goals of the thesis, research methods and research material, content and results. 

Publication of the thesis

At the University of Jyväskylä, the theses are published in the Jyväskylä University Digital RepositoryJYX. The student should save his/her master's thesis in JYX via the university library's website. According to the publishing principles of the University of Jyväskylä, theses are generally published completely open, so that both the scientific community and the general public can read them on the Internet for free and without barriers. If the author chooses to publish the thesis with restricted access, the information about the author and the work still remains public.

Please ensure that you have registered for the courses BENS5037 Master's Thesis and BENS5038 Maturity Test.

Submit your thesis in PDF format to the submission box in Moodle for the course BENS5037. By doing so, you agree to have your thesis checked for similarity using the Turnitin system. After this, submit your thesis, which has undergone the Turnitin check, to the Vasara system for assessment.

The Vice Dean of the Faculty of Mathematics and Natural Sciences has delegated the approval of completed master's theses to the departments. The vice head of the department decides on the assessment of the master's thesis at the department.

The last submission date for autumn 2025 is November 13, 2025, if you want to graduate before December 31, 2025.
