FAQ: submitting attachments after being admitted to a master's programme

If you are offered a study place, make sure to check whether you are required to submit any educational documents for verification.

To receive an unconditional offer, you must submit either officially certified paper copies of the necessary educational documents or official digital copies.

How to certify and submit attachments

When you submitted your application in January, you uploaded your documents to the application on Studyinfo. These are considered as unofficial copies. 

Now, you have been offered a study place conditionally. Before you can get an unconditional offer, the University must verify the authenticity of your educational documents. 

As the JYU doesn't return any physical documents sent to us, and the University wants you to have the original documents, you need to acquire officially certified copies of the original documents.

Officially certified copies are copies of your educational documents that an official body/ institution has certified to be authentic. These documents can now be used as official documents.

There are few different ways to do this. First, you need to see if any country-specific requirements apply to your situation.

Please remember that the documents must reach the University by 16 July at 3.00 pm UTC+3. Otherwise, your admission will be cancelled.

Our general requirements

We may be able to accept electronic documents if they have been 

• submitted either through a recognised verification service or
• via email by the issuing institution.

Electronic documents may be accepted only if there is no country-specific requirement or if the requirement specifically permits electronic documents.

We reserve the right not to accept any electronic documents if there is any doubt about the legitimacy of the service or the identity of the sender. We will not pay any fees that may be charged for verification.

Please note that we do not accept email deliveries sent by students. The sender must be the issuing institution.

You can request for the issuing institution to email your educational documents directly to idp-attachments@jyu.fi We recommend using our secure email service. 

Requirements for email delivery:

• the email must be sent from an official email address of the issuing institution
• we must be able to verify the address from their official website. If the website is not available in English, Finnish or Swedish, or if the address is not listed on the website, we may not be able to verify the sender.

Please note that submitting your documents through one of the recognised verification services or as certified physical copies is more reliable. 

This is because we cannot guarantee that we will be able to accept documents delivered by email due to the reasons explained above.

If you wish to drop off your documents in person, you (or your friend or family member) can bring them to our Registry Office. However, please note 

• that the documents need to stay with us for archival purposes
• we will notcomment on the documents when you bring them

Due to the large volume of documents we receive, we are unfortunately unable to notify applicants individually when their documents arrive.

However, you are welcome to inquire whether the documents have arrived to JYU. Our response times are currently longer than usual. However, we aim to reply within 7 days.

Once we receive your parcel or email from your previous institution, we verify the documents. If the verification is successful we remove the conditionality and make your admission final. This process takes some time due to the verification process and the high volume of submissions. 

If the courier confirms delivery but you haven't heard from us, there's no need to worry - we will contact you by email once we have processed your documents or if there are any issues.

Due to the large volume of documents we receive, the processing time is approximately 3 weeks.
