FAQ for publishing in JYU Dissertations

The final manuscript — approved by the scientific editor, formatted according to the template, and carefully proofread — must be submitted to the editorial team no later than one month before the defense.  Please note that Christmas, summer holidays, and public holidays may affect the schedule. If necessary, contact the editorial team well in advance.

Please submit the doctoral dissertation / the summary section of an article-based dissertation as a Word file.

Send published articles as PDF files. Unpublished articles may be submitted either as PDF or Word files. Remember to complete the article separator pages in the template at the end of the manuscript for an article-based dissertation.

If you have prepared your dissertation using a LaTeX template, please submit the final version as a PDF file. Also include the LaTeX source code as a ZIP file; it will be attached to JYX to improve accessibility.

You can download the template either from our website or directly from Word via the University of Jyväskylä (JYU) online templates.

If you are unable to access the template, please contact the editorial team.

Usually, there is no need to transfer the text to a new template; instead, the settings of the older template can be corrected, if necessary. However, the latest template may contain sections at the beginning that are not found in older templates, such as a notice on the use of artificial intelligence. You can add any missing sections yourself. If necessary, contact the editorial team.
 

It is advisable to transfer the text in smaller sections, for example one chapter at a time, i.e.copy the text and paste it into the template. 

When copying, ensure that the copy settings are correct: Before pasting the text, right-click and select Merge Formatting ( M) from the Paste Options. This will apply the text styles of the template. You can also edit the paste settings in Word's settings, i.e. File > Options > Advanced > Cut, copy and paste.

If necessary, the editorial team will guide you in working with the thesis template.

Send published articles as PDF files; unpublished articles can be sent as PDF or Word files. Remember to fill in the article title pages at the end of the template for the article dissertation.

Articles should not be attached to the Word file of the dissertation; instead, the introduction written in Word and the articles should be submitted as separate files to the editorial  team. If you want a create a single file for the preliminary examiners, you can compile it using the Pdf-X-Change programme. If the thesis has been written using LaTex, it is a good idea to attach the articles to a PDF file created with the programme, which is then submitted to the editorial team.

Most publishers have guidelines on the use of articles as part of an online dissertation, and it is not usually necessary to request separate permission. Often, the final published version of the article can be used as part of an online dissertation, but if this is not possible, the final draft of the article (AM, the latest peer-reviewed manuscript version) can usually be used. If the article has already been self-archived in JYX, that version of the article can also be used as part of an online dissertation.

The editorial team will assist with permission issues for articles in the dissertation if necessary, but we encourage you to take the initiative, especially during the busy periods at the end of the academic year. 

Usually, you do not need to ask for separate permission to include open access articles in your online doctoral dissertation. If the article has been published under a CC (Creative Commons) licence, the licence covers the right to use it in your dissertation.

Unpublished manuscripts are always included in the preliminary review and the archived version of the doctoral thesis.

Many publishers encourage the online publication of preprints, and this does not affect the publication process in any way. The editorial team will help you clarify the publishers' guidelines, if necessary.

If you or other authors do not want an unpublished manuscript to be included in the online thesis, it will be omitted and the text 'Request a copy from author' will be added to the article title page at the end of the dissertation template.
 

You can submit a licensed, print-quality image file with your thesis. Please also indicate the author/source of the image.

A 15 cm wide image with a resolution of 300 dpi is sufficient for all publication formats. Generally, a landscape image fits better in the space available on the cover.

The JYU Dissertations series is an online publication series, and an online dissertation is the official publication format required by the university. 

For article-based dissertations, a summary of the dissertation and any articles that can be included are attached. All articles (including unpublished manuscripts) are always included in the dissertation file to be archived. 

A small number of printed copies of the dissertation may also be made for the doctoral candidate's own use. 
 

The price is affected by the number of pages, colour pages, and the desired print size. The exact price will be determined once the final number of pages and print run have been confirmed.

You will receive a PDF proof from the editorial team for a review prior to publication. Please check it carefully. 

Please note, however, that material sent to the editorial team must already be carefully proofread, and only minor individual errors can be corrected at the final proof stage, if necessary. 
 

On average, this takes five working days. Public holidays may slow down the printing process. 
 

The printing house delivers the legally required copies to the right locations. 
 

According to the JYU degree regulations, the online dissertation must be made public in the JYX digital archive no later than five days before the defence. 

As a rule, the online dissertation is published as soon as possible after the material is completed. The editorial team processes dissertations in order of urgency according to the date of the defence. 
 

Once the complete archive version of the dissertation is finished, the editorial team will send it as a PDF file to your faculty, which will forward the file to your opponent. 
 

If the list does not update automatically, ensure that the correct styles have been used in the figure and table captions (figures: Figure definition, tables: Caption;Table definition, table caption / Caption;Table definition).

Once the styles of the captions are consistent, click on the list to activate it and select Insert Table of Figures from the References tab. Then select the caption style used from Options and click OK.

Alternative text describes the content of a figure or table to readers who use screen readers. Alternative text is not the same as a caption. If the content of the figure is explained in the body text, the alternative text could be, for example, "diagram xx, referred to in the text".

Alternative texts ensure the accessibility of the file and they are mandatory.

Open your dissertation file. Go to the top menu and select Review. Click Check Accessibility. A panel will open on the right listing any issues that may need to be corrected (Accessibility Assistant).

The editorial team will add the ISBN and series information to the dissertation. If you are using a LaTeX template that includes ISBN information on the abstract pages, the editorial team will send you the information to be added to the abstract pages. Please contact the editorial team before submitting your final material. 
 

Faculties have different practices regarding summaries. Please check your faculty's dissertation requirements to see whether a longer summary is required to the end of the dissertation.

Before the publication process begins, your doctoral thesis must be approved by the scientific editor responsible for your faculty and subject area (who may also be your thesis supervisor). See scientific editors here

Submit your manuscript to the scientific editor for a review before sending it to the editorial team. The scientific editor will notify the editorial team of the publication permission they have granted. Once you have implemented the possible corrections requested by the scientific editor, you can send your thesis material to the editorial team.
