Supervision document for doctoral students

The purpose of the supervision document is to clarify the responsibilities of the doctoral student and supervisors and to promote the completion of doctoral studies. A supervision document is a collaboratively created plan for the supervision and the completion schedule of the doctoral dissertation.

Supervision documents are registered in the supervision document service. Log in to the supervision document service with your JYU user ID.

The supervision document service will be on summer break from 26.6.2026. The supervision documents for the academic year 2025-2026 are valid until 31.7.2026. Supervision documents for the academic year 2026-2027 can be created or updated from 21.8.2026. 

Appendices to the supervision document

Together with the research plan, doctoral study plan, and financing plan, this document and its appendices form the documentation of the doctoral student’s supervision.

Validity of the supervision document

Supervision documents are confirmed for one academic year at a time.

The supervision document for a new doctoral student must be confirmed:

  • by the end of September if the doctoral study rights begin on 1 August, and
  • by the end of February if the doctoral study rights begin on 1 January.

New doctoral students can register a supervision document after they have been granted the JYU user ID, and the doctoral study right has started.

Doctoral students who started their studies earlier must update their supervision documents and have them confirmed by their dissertation supervisors annually at the beginning of the academic year, by the end of September. The document can also be updated and confirmed as necessary during the academic year.

Once the supervision document is confirmed, it is valid until 31 July. A supervision document for the next academic year can be registered in August at the earliest. Doctoral students registered for attendance will be reminded by email to register a supervision document.

The supervision document is confirmed annually until the doctoral dissertation has been examined and registered in the study register. The supervisor-in charge of the dissertation is responsible for ensuring that the doctoral student has an approved supervision document.

Please note that a confirmed supervision document is a prerequisite for obtaining JYU-funded Doctoral Researcher positions and JYU-funded doctoral research grants.

Preparing a supervision document

When the preparation of the document is preceded by a joint discussion on the supervision arrangements or when the supervision document is jointly drafted, the proceedings are at the simplest as follows:

  1. The student logs in to the service, prepares the supervision document and confirms it for their own part.
  2. The supervision document service sends by email a confirmation request to the supervisor-in-charge as well as a revision request to the other supervisors having a JYU user ID.
  3. The supervisor-in-charge logs in to the service and confirms the supervision document for their own part.

If it is not possible to discuss the supervision arrangements in advance, there is a comment function available in the supervision document service that the student and supervisors can choose to use in order to discuss about the contents before confirming the document.
