Decision on the public examination event

Guidelines when the decision on the public examination is made before August 1, 2026

According to the Degree Regulations of the University of Jyväskylä, section 51 §,

  • one or more opponents shall be appointed for the public examination of the dissertation. Opponents must be professors or doctoral degree holders with sufficient academic merits. The main post of the opponents must be outside of the University of Jyväskylä. The supervisor of the dissertation cannot act as an opponent. The doctoral candidate shall be given an opportunity to comment on the selection of the opponent(s).
  • a custos (chair) shall be appointed for the public examination. The custos must have an employment relationship with the University of Jyväskylä. The custos introduces the faculty instructions of the public examination to the opponent(s) and ensures that particularly international opponent(s) become familiar with the dissertation practices of the University of Jyväskylä as well as the grading scales.

According to the University of Jyväskylä Regulations, section 13 §, the Dean appoints the opponents of doctoral dissertations, appoints the custos for the public examination of a doctoral dissertation, appoints an assessment board when necessary, and decides on the time and location of the public examination event as well as on using remote access in the event unless these matters are delegated to be handled and decided by the vice-dean responsible for research.

According to the Degree Regulations of the University of Jyväskylä, section 52 §, to support the assessment of a dissertation, a special assessment board may be appointed to make a proposal to the faculty council for the grade of the dissertation. The supervisor of the dissertation cannot participate in the assessment and grading of the dissertation and cannot be appointed to the assessment board.

According to the Degree Regulations of the University of Jyväskylä, section 51 §, the Rector, or a person designated by the Rector, decides in more detail on general policies related to the public examination of a doctoral dissertation. Information about the arrangements and formalities of the public examination is given in separate faculty instructions. On 21.5.2019, vice rector Marja-Leena Laakso made a decision on the public examination of a doctoral dissertation and dissertation requirements (intranet UNO) which applies to public examination events for which an official decision has been made prior to August 1, 2026.

According to the academic tradition, public examination is organised at the premises of the University of Jyväskylä. The traditional days of the week are Friday and Saturday and usually the examination starts at 12 noon. 

When deciding on the date of the public examination, the timetable of the dissertation publication process should also be taken into account, in accordance with the instructions of the Open Science Centre's publishing services. If necessary, the doctoral candidate can contact the Open Science Centre in good time to discuss the timetable.

Guidelines when the dissertation is granted permission for public examination or a decision on the public examination is made on or after August 1, 2026

These guidelines are based on the following: University of Jyväskylä’s Degree Regulations 50§, 51§, and 52§, the Operating practices of the University of Jyväskylä Graduate School (decision of the Vice Rector on March 27, 2026), and the University of Jyväskylä’s Regulations.

Once permission for the public examination of a dissertation has been granted, the examination must be held no later than six months after the permission was granted. The Faculty Council may, for justified reasons, grant an extension for holding the examination event.

The doctoral student and the supervisor-in-charge advisor discuss the content of the proposal on the public examination (the opponents, the custos, the assessment board, the time and place of the public examination, use of remote access). Other supervisors and the specialisation representative may also participate in the discussion. Once the content of the proposal has been agreed upon, the supervisor-in-charge forwards the information to the specialisation representative, who makes the official proposal. The dean, or the vice dean responsible for research with delegated authority, decides on the public examination and the related arrangements.

Opponent:

  • One or more opponents shall be appointed for the public examination of the dissertation.
  • The opponents must hold a doctoral degree and be professors or have demonstrated sufficient academic merit in other ways. Sufficient academic merit of the preliminary examiners and opponents means widely recognised academic competence and experience in the field or fields of research of the dissertation. They must be experienced experts at the level of docent (adjunct professor) or higher. In addition, the preliminary examiners must have actively published in a field of research that is relevant to the field of research of the dissertation. The faculty assesses the academic merits of the preliminary examiners and opponents when appointing them. The assessment is made based on CVs and lists of publications.
  • A preliminary examiner can be appointed as an opponent.
  • The supervisor of the dissertation cannot act as an opponent.
  • The opponents must not have an employment relationship with the University of Jyväskylä.
  • Emeritus professors of the University of Jyväskylä cannot serve as preliminary examiners or opponents for dissertations examined at the University of Jyväskylä.
  • A member of the doctoral student’s follow-up group may not serve as a preliminary examiner or opponent.
  • The appointment of preliminary examiners or opponents follows the provisions on disqualification of the Administrative Procedure Act. The preliminary examiner or opponent must not have a relationship with the doctoral candidate, the dissertation, the dissertation supervisors, or any other party involved that could call their impartiality into question. Custos:

  • Custos must have an employment relationship with the University of Jyväskylä.
  • Custos’ task is to familiarize the opponent(s) with the faculty’s instructions on the public examination and to ensure that, in particular, foreign opponents are familiarized with the University of Jyväskylä’s practiced related to public examination and the grading scales in use.
  • Please note that the custos also assists the opponent with travel and accommodation arrangements.

Assessment board:

  • The dean, or the vice dean responsible for research with delegated authority, appoints an assessment board to support the evaluation of the dissertation.
  • The assessment board consists of the opponent(s) and one to two representatives from the relevant field of study or discipline at the University of Jyväskylä.
  • All members of the assessment board must hold a doctoral degree, and at least one of them must be a researcher of at least the docent level.
  • The chair of the assessment board is a representative of the subject or research field and is appointed by the dean or the vice dean responsible for research
  • The supervisor of the dissertation cannot participate in the evaluation or be appointed to the assessment board.
  • Members of the doctoral candidate’s follow-up group cannot be appointed to the assessment board.
  • The assessment board is also subject to the provisions on disqualification in the Administrative Procedure Act.
  • In addition to the opponent, at least one member of the assessment board must be present at the public examination, either in person or remotely. Usually, the assessment board convenes immediately after the public examination.

Time and place of the public examination event:

  • The examination event is open to the public. As a rule, the public examination is organised so that the doctoral candidate, opponent(s), and custos are present in the University of Jyväskylä’s facilities. The public examination is usually scheduled to begin at 12:00 noon.
  • The dean, or the vice dean responsible for research with delegated authority, can approve the organisation of the public examination at a location other than the University of Jyväskylä or at a different time.
  • The dean, or the vice dean responsible for research with delegated authority, can also decide to hold the public examination remotely, with the opponent participating in the examination via a remote connection. For well-founded reasons, a remote examination may also be held with the doctoral candidate participating in the examination via a remote connection. If both the opponent and the doctoral candidate are participating in the public examination via a remote connection, the custos may also participate via a remote connection.

Please note: if the doctoral candidate is completing a double degree in an international joint degree programme or based on a cotutelle agreement, the public examination of the dissertation can 9 be agreed to be conducted at the other university awarding the degree in accordance with the guidelines of the joint degree or cotutelle agreement.

The doctoral candidate shall be given an opportunity to comment on the selection of the opponents. A doctoral student has seven days from the date on which they were informed of the decision to submit a comment regarding the proposed opponents. After the proposal has been approved or a comment has been submitted, but no later than at the end of the deadline, the dean or the vice dean for research may make the decision. 

The dean, or the vice dean responsible for research with delegated authority, appoints the custos and the opponent(s) for the public examination event, appoints the assessment board, and decides on the time, place, and possible use of remote access for the public examination event.

Following a decision by the dean or the vice dean responsible for research with delegated authority, the faculty's doctoral studies coordinator will send via email

  • notification on the decision to the doctoral candidate, the supervisor-in-charge, and the specialisation representative
  • the Custos’ instructions to the custos
  • notification of the decision to the opponent, along with the opponent’s instructions (note: the custos assists the opponent with travel and accommodation arrangements; the coordinator does not send the opponent instructions regarding these matters), the preliminary examination statements, and the doctoral candidate’s summary on how the dissertation has changed since the preliminary examination.   • to the assessment board: notification of the decision, along with the assessment board’s instructions, preliminary examination statements, and the doctoral candidate’s summary on how the dissertation has changed since the preliminary examination.

Please note: the doctoral candidate may not communicate directly with the opponent; instead, the doctoral candidate and the opponent may only communicate through the custos. The doctoral candidate must inform their custos if the opponent has been in contact with them during the examination process. Exceptions to this rule are the sending of the printed dissertation by postal mail and the sending of an invitation to the karonkka, which the candidate may send directly to the opponent if this has been specifically agreed upon.

The coordinator will submit an archival copy of the dissertation (as a PDF file attached to an email) to the opponent, the assessment board, and the custos after the dissertation has been published in the JYX publication archive. The archival copy includes all published manuscripts of the article-based dissertation, including those that have not been published online.
